How to make an invoice

A useful invoice tells a customer who provided the work, what they owe, and how to pay. You can prepare one without setting up accounting software.

1. Identify both sides

Start with the name and contact details you want the customer to recognize. Add the customer's name and address or email so the document has a clear recipient.

2. Give the invoice a clear identity

Use a unique invoice number, an issue date, and a due date when one applies. A simple sequence such as INV-1001 makes later conversations and file searches easier.

3. Itemize the work

Describe each product or service in plain language. Enter the quantity and unit price, then review the calculated subtotal, discount, tax, and total before downloading.

  • Example: Design consultation - 3 hours at $80
  • Example: Final logo files - 1 project at $450

4. Review, download, and deliver

Add only the payment instructions, reference, or notes the customer needs. Preview the finished document, download the PDF, and send it through your normal communication channel.
